Privacy Policy

This policy explains how Dial4Hire ("we", "us") collects, uses, shares and protects your personal data when you use dial4hire.com. It is written to follow India's Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000 and its Rules.

We are a recruitment and placement service for Delhi NCR (Delhi, Noida, Gurgaon and Faridabad). Our service is free for candidates.

What we collect

When you apply for a job or send an open application:

Full name, gender, and date of birth (optional)
Mobile number (required) and email (optional)
Current location and preferred work locations
Highest qualification, including whether you are currently pursuing it, plus any diploma and certifications
Total experience, skills and years per skill
Previous company, previous role and last salary (optional)
Availability to join
For a specific job: the job you applied for, and the assets and documents you confirm you have (for example a vehicle or ID documents, if the job lists them)
For an open application: the roles you are interested in and up to 10 industries you prefer
A reference name and phone number (optional). Please share these only with that person's permission.
Your CV, if you upload one (PDF, DOC or DOCX; size limit shown on the form)
Your consent to this policy

When you use the candidate account (if enabled):

Your mobile number and a one-time password (OTP) sent to you on WhatsApp
Profile details you add or edit, and your application history

Technical data:

Your IP address, used to limit abuse of the application form and OTP login
Session cookies (see "Cookies" below)

When you contact us by phone, WhatsApp or email, we keep what you send us so we can reply.

Why we use it

To assess your profile and match you with suitable jobs
To share your profile with employers for jobs you applied for or may suit you (see "Who we share it with")
To contact you about your application, interviews and placement
To run the candidate account and verify your login
To prevent spam, fraud and misuse, and to keep the site secure
To meet legal obligations

We do not sell your personal data. We do not use it for advertising.

Consent

You give consent by ticking the box on the application form ("I agree that my information can be collected and used by Dial4Hire for recruitment purposes"). We use your data only for the purposes above.

You can withdraw consent at any time by emailing d4hwork555@gmail.com or messaging us on WhatsApp. Withdrawal is as easy as giving consent. After withdrawal we stop processing your data and delete it unless the law requires us to keep it. Withdrawal does not affect anything done before it, and we may no longer be able to put you forward for jobs.

Who we share it with

Employers: our website does not send your profile to employers automatically, and employers have no access to our systems. Our recruitment team shares relevant details from your profile and CV with prospective employers for the role you applied for. By submitting your application you consent to this sharing for that purpose.
Our team: access is limited by role. Admins see full candidate records. Interview schedulers see only what they need to schedule interviews (not your email, salary, previous employer, reference or CV). Recruiters on our team manage companies and job posts and do not see candidate records.
Service providers:
Appwrite (Appwrite Cloud, Frankfurt, Germany region) hosts the website, database and CV files.
Meta (WhatsApp Business Platform) delivers login OTPs, if you use the candidate account.
Google (Gmail) is the mailbox for d4hwork555@gmail.com, so emails you send us are held by Google.
Authorities: when required by law or a valid legal request.

Where your data is stored

Your data is stored with Appwrite Cloud in its Frankfurt (Germany) region, so it is processed outside India. The DPDP Act allows this except to countries the Government restricts. We will review this if the rules change.

Cookies

We use only essential cookies:

`d4h_candidate_session`: keeps you signed in to your candidate account (default up to 14 days).
`d4h_otp`: holds your login attempt while you enter the OTP.
`d4h_staff_session`: used only by our staff to sign in.

These cookies are secure and cannot be read by page scripts. Saved jobs are stored only in your own browser. We do not use advertising or analytics cookies, and the site does not use any analytics tools.

WhatsApp OTP login

The candidate account is optional. You can apply without it.
We send a 6-digit code to your WhatsApp number. It expires after a short time (10 minutes by default) and can be tried only a few times (5 by default).
To prevent abuse we limit OTP requests per number, per IP address and per day. If a limit is reached, please wait and try again.
You need WhatsApp on the number you enter. We cannot send OTPs by SMS or email.
The code is stored only in scrambled (hashed) form.
This feature may be switched off at times. If it is, you can still apply through the form or contact us.

How long we keep it

Applications, profiles and CVs: kept while they are needed for recruitment purposes, or until you ask us to delete them through the grievance contact below. We have not set a fixed retention period.
OTP and login records: one-time codes expire after their set lifetime (10 minutes by default), candidate sign-in sessions after their set lifetime (14 days by default) and staff sessions after 8 hours.
Records we must keep by law are kept for the period the law requires.

When we no longer need your data, or you ask us to delete it, we delete it unless the law requires us to keep it.

Security

We take reasonable steps to protect your data, including encrypted connections (HTTPS), role-based staff access, file type and size checks on CV uploads, rate limits on forms and logins, and hashed OTPs and session tokens. No system is fully secure. If a breach affects you, we will inform you and the Data Protection Board of India as the law requires.

Your rights

You can ask us to:

Tell you what data we hold about you and how we use it
Correct or update it (you can also edit your profile in the candidate account)
Delete it
Tell you who we have shared it with
Name someone to act for you if you die or are unable to act

Email d4hwork555@gmail.com with your name and the mobile number you used. We may need to confirm it is you. We aim to reply within 30 days.

Children

Our service is for adults looking for work. You must be 18 or older to apply. We do not knowingly collect data from children. If we learn that a person under 18 has applied, we will delete their data.

We will acknowledge your complaint within 24 hours and resolve it within 15 days. If you are not satisfied, you may approach the Data Protection Board of India.

Changes to this policy

We may update this policy. We will change the "Last updated" date and, for important changes, tell you on the website or by message before they apply.
